Summary of Position

The (Contractor) Document Control Coordinator IV will be working with a small team responsible for the maintenance, storage, and archiving of R&D documents, including Protocols, Reports, SOPs, Forms, and other documents. This person will help with routing documents for review and approval and tracking their completion while updating appropriate master indexes and informing users when new and revised documents are approved and available for use.  Initial contract period is for 12 months.

Essential Functions

  • Format and proofread controlled documents.
  • Route and Track records through the review and approval process.
  • Maintain master files and version control of R&D Document Control Related Records.
  • Ensure compliance to SOPs regarding development, control, and maintenance of R&D Records, SOPs and forms.
  • Provide service to departments regarding documentation, including but not limited to, providing copies, collecting data sheets, and training on key document control procedures.
  • Sort and/or prepare hard copy records for scanning – document preparation
  • Scan hard copy files to electronic images, assuring a quality image and “true copy”. 
  • Adhere to all cGMPs, compliance/regulatory mandates and quality requirements.
  • Perform other related duties as assigned to meet departmental and Company objectives.

Requirements

  • Experience working in a GMP or regulated document control environment.
  • PC / Scanner / Copier proficiency
  • Advanced skills in Microsoft Office suite including word, excel, power point, and outlook
  • Ability to type 65 WPM
  • The ability to remove staples, sort, file and box records.
  • Knowledge of electronic document management systems (EDMS)
  • Must possess good documentation skills in both paper-based and electronic systems 
  • Detail oriented, meticulous in nature, with excellent proofreading skills.
  • Outstanding oral and written communication skills for interacting with many internal departments
  • Good time management skills and ability to organize and prioritize tasks effectively
  • Understand the importance of detail and accuracy
  • Ability to work at a sustained pace to meet project timelines while producing quality work
  • Must be able to work independently with minimal supervision.

 

Working Conditions

  • Willingness to work in plant producing radioactive materials and requiring all employees to participate in safety programs designed to minimize potential and/or actual exposure levels.
  • The majority of work will be performed in a typical office environment.  However, in some cases, this position will require the review/retrieval of documents located in a limited temperature controlled warehouse. 
  • Four foot high mobile stairs may be required to reach overhead shelves.  
  • Person will be required to push and maneuver mobile stairs and carts in the warehouse. 
  •  The file storage boxes (which could weigh up to 40 lbs) will need to be manually lifted and moved.  
  • The records have been in long-term storage therefore the contents may contain dust.  
  • Position will require reaching over head to place binders and files on shelves. 
  • Responsibilities also include the ability to lift up to 50 pounds, walk, bend, stoop, kneel, crouch, crawl, twist upper body, push, pull, reach, and climb stairs and ladders with or without accommodation.
  • May be required to sit or stand for long periods of time while performing duties.
  • Must be able to work outside of regular work hours, work rotating shifts, weekends, and overtime, as necessary. 
  • Close attention to detail required and must possess good hand-eye coordination.
  • Willingness to work in a team-based environment.
