Summary of Position
The Accounts Payable (AP) / Travel & Expense (T&E) Analyst is responsible for the accurate and timely processing of supplier invoices and employee expense claims, ensuring compliance with company policies and regulatory requirements. This role involves supporting day-to-day AP and T&E operations, assisting with reconciliations, and providing high-quality service to internal and external stakeholders. The AP / T&E Analyst plays a key role in maintaining accurate financial records, supporting audits, and contributing to process improvements within the AP and T&E functions.
Essential Functions
- Process supplier invoices and employee T&E claims in accordance with company policies, procedures, and deadlines.
- Ensure correct coding of invoices and expenses to the general ledger and cost centers.
- Reconcile vendor accounts and resolve discrepancies by liaising with suppliers and internal departments.
- Monitor outstanding AP items and assist with the timely resolution of aged balances.
- Review expense reports to ensure compliance with corporate travel and expense policies, escalating exceptions where necessary.
- Support internal and external audit requests by preparing documentation and responding to queries.
- Assist in maintaining the AP sub-ledger and ensure alignment with the general ledger.
- Contribute to the continuous improvement of AP and T&E processes, including automation and standardisation initiatives.
- Maintain accurate and organised records to support financial reporting and compliance requirements.
- Provide excellent customer service to employees, vendors, and other stakeholders, ensuring timely and professional communication.
- Perform other related duties as delegated or assigned.
Requirements
Education and Experience
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field (preferred).
- 1–3 years of experience in Accounts Payable, Expense Management, or a related finance function.
Skills and Competencies
- Solid understanding of AP processes, accounting principles, and expense policy compliance.
- Experience with ERP systems (e.g., SAP, Oracle, or similar).
- Proficiency in Microsoft Office, especially Excel (pivot tables, lookups, data analysis).
- Strong analytical skills with attention to detail and accuracy.
- Excellent communication skills, both written and verbal.
- Ability to work independently while contributing to team goals.
- Good organizational and time management skills, with the ability to manage multiple priorities.
- Strong problem-solving abilities and a customer-service mindset.
- Fluent English; additional languages are an advantage.
