Summary of Position
Plays a key role in administering HR services and support to managers, employees and HR BP/HRD in DACH. With supervision, administers, co-ordinates and manages a variety of programs and activities covering the full spectrum of HR activities - recruitment & onboarding, compensation and benefits, performance management, employee relations and development, HRIS and reporting and payroll input.
Essential Functions
- Support recruitment & New hire documentation and checklists; support drafting organisational announcements; create employee records.
- Administer new starters for payroll and benefits purposes. Issue onboarding documentation and welcome packs.
- Administer employment changes and maintenance of HRIS - job, manager and department changes, promotions, salary increases, changes in addresses, changes of employee’s personal data, etc. and generate paperwork needed. Administer statutory and company insured benefit programs throughout the year. Manage changes in employment and employee circumstances for pension and healthcare programs- new hires, leavers, mid-year changes and the annual election process.
- Administer country-specific benefits e.g. gym membership, vouchers, long service awards, event-triggered allowances and payments. Administer annual bonus scheme participants and metrics, including employee communication.
- Compensation and benefits support: provide input/data to support market surveys, issue letters to individuals regarding merit increases, bonus payments, as required.
- Performance management: Assist with performance management, administer performance forms in HRIS, monitor the status of the performance forms.
- Administer and maintain absence records and leave programs, including sickness absence, vacations, maternity and paternity, and other leave. Provide reports for managers and HRD.
- Training & development administration - coordination of courses, programs, participants, logistics, communication with external training suppliers.
- Administer leavers process - notify and coordinate with internal departments (IS, Payroll) and external providers (fleet, benefits), updating employee records.
- HR reporting, HRIS - regular reports and ad hoc requests. Maintenance of employee data in HRIS, including regularly checking and updating all information that allows for precise reporting, time & absence management.
- Responsible for the maintenance of HRIS configuration (workflows, notifications, approval process, etc.).
- Assist with recruitment.
- Responsible for coordinating and submitting monthly payroll inputs on time, while partnering closely with internal payroll teams to ensure the accuracy of payroll data and the timely payment of employee salaries.
- The main point of contact for employee queries related to their employment, benefits, etc.
- Participation in other ad-hoc projects when required.
Requirements
- Bachelor’s degree, preferably in an HR, business or finance-related field.
- 2 years in HR Administration / HR Operations
- Fluent in English (spoken and written)
- Fluent in German (native or min. C1) + other European language (advantage)
- Willingness to travel (up to 25% of the time)
- Good team player.
- Results-driven, takes accountability and uses initiative. Highly self-motivated.
- Well-organised, good attention to detail, flexible and adaptable, with the ability to manage multiple projects across multiple diverse countries, balancing conflicting priorities and challenging deadlines.
